Terms of Service
The agreement between you and BillPlex — local-first, personal use, and your responsibilities, laid out plainly.
Last updated: October 2, 2026
These Terms of Service govern your use of the BillPlex application, owned and operated by Nexus Software Systems L.P. By downloading, installing, or using the App, you agree to these terms. Please read them carefully.
Description and Purpose of the App
1.1. The App is designed to help users track and manage their personal expenses easily and efficiently.
1.2. The App is intended exclusively for personal, non-commercial use and is not meant for commercial exploitation or third-party data collection.
1.3. All data entered by the user is stored on the user’s devices. It is not transferred to, stored by, or processed on servers operated by us. Copies exist only where you or your device keep them, for example a backup file you save or your device’s own iCloud or Google backup; automatic sync uses Apple’s and Google’s notification services only to wake your devices, as described in the Privacy Policy.
1.4. The App provides general expense tracking functionality only and does not provide financial, legal, or accounting advice. The App should not be relied upon as a substitute for professional advice.
1.5. The App is owned and operated by Nexus Software Systems L.P., based in Greece.
User Responsibilities and Rights
2.1. You are solely responsible for the accuracy, completeness, and legality of the data you enter into the App.
2.2. You agree to use the App in accordance with all applicable laws and regulations.
2.3. The use of the App for illegal or unauthorized purposes is strictly prohibited, including collecting third-party data without proper consent or manipulating stored data in unauthorized ways.
2.4. You acknowledge that you are solely responsible for managing, maintaining, and securing the data stored within the App.
Data Handling and Permissions
3.1. All data managed by the App is stored locally on your device. We do not collect, store, access, or process this data on our servers.
3.2. You are responsible for securing and managing your data, including creating backups if desired.
3.3. We are not liable for any loss, corruption, theft, or misuse of your data resulting from device failure, user action, loss of device access, or third-party access.
3.4. Voice Input (Optional): If you use voice input, speech-to-text is performed by your device’s built-in system speech recognition (provided by Apple on iOS and Google on Android), which may send the audio to those providers for processing under their own privacy policies. BillPlex does not record, store, or send your audio to our own servers; only the resulting text is used.
3.5. Local Sync (Optional): If you use local Wi-Fi sync, data transfer occurs directly between your devices on your own network. You are responsible for the security of your network connection.
Payment and License
4.1. The App is free to download. Optional paid features are offered as “BillPlex Pro” through in-app purchase on the Apple App Store or Google Play: a monthly subscription, a yearly subscription (which may start with a free trial), or a one-time purchase that does not renew. Prices are shown in the App before you buy, in your local currency, and are charged by Apple or Google to your store account.
4.2. Subscriptions renew automatically at the end of each period unless you cancel them in your App Store or Google Play subscription settings before the period ends (on the App Store, at least 24 hours before). If you cancel during a free trial, you are not charged; if you do not, the yearly subscription starts when the trial ends.
4.3. BillPlex Pro bought on a household’s main device applies to every device paired with that household. Because the App has no account or server that holds your plan, a paired device learns about BillPlex Pro only when it syncs with the main device: each sync keeps BillPlex Pro on that device for 30 days. A device that leaves the household, is removed from it, or does not sync for 30 days returns to the free version, unless BillPlex Pro of its own applies to it as described below or in 4.4; when BillPlex Pro ends on the main device, the other devices return to the free version at the latest 30 days after their last sync. It is licensed for the personal, non-commercial use of the household. BillPlex Pro bought with your own store account, whether a subscription or a one-time purchase (“your own plan”), applies only while your device is the main device of its household. In particular:
— In another household: your own plan is not used while your device belongs to a household of which it is not the main device, such as another person’s household, not even on your device. On your device, the App’s BillPlex Pro screen then shows it as “Not used”.
— Before you join: if the App finds that your device has its own subscription that is set to renew, it tells you, before you join another person’s household, that the subscription will not be used there and keeps renewing until you cancel it.
— Charges: the store keeps charging a subscription until you cancel it with that store (see 4.2), whether or not it is used.
— Joining and cancelling: joining another person’s household, and keeping or cancelling your own subscription, are your choice and your responsibility.
— Leaving: your own plan applies again once your device is the main device of a household of its own, for example after it leaves the other household.
4.4. As a thank-you, and without any earlier promise to do so, we give BillPlex Pro free of charge, without time limit, to devices on which the App was already in use before BillPlex Pro was introduced (the “lifetime gift”). In particular:
— What it is: the lifetime gift is a voluntary goodwill gesture. Nothing is bought, no payment is taken, there is nothing to cancel or refund, and it has no cash value.
— Who receives it: the lifetime gift is a launch offer for the introduction of BillPlex Pro with version 2.0 of the App. A device receives it only when the App is opened on it on version 2.0 (including any 2.0.x update), or on an earlier version that already gave it. A device that has not received it by the time it first opens the App on version 2.1 or later does not receive it, even if the App was used on it before, unless a lifetime gift already given is carried over to it as described in 4.9. A lifetime gift already given stays as described in these terms. We may end or change the offer at any time for devices that have not received the lifetime gift, and the offer creates no claim for anyone who has not received it.
— In a household: on a household’s main device, the lifetime gift is shared with the household as described in 4.3; on another device of the household, it applies to that device only.
— Personal, not to be passed on: apart from that sharing, the lifetime gift is personal to the person whose device received it. It cannot be sold, exchanged or passed on to anyone else, for example by sharing a BillPlex backup that contains it, and we may end a lifetime gift obtained that way. Restoring a BillPlex backup carries it on to that same person’s new device, which is what it is for.
— Keeping it: we make reasonable efforts to keep the lifetime gift working, including after reinstalling the App or on a new device, but we cannot guarantee it (see 4.9).
4.5. If BillPlex Pro ends, your data is not deleted: everything already recorded remains available, and only the Pro features stop working until Pro is active again.
4.6. Any payment grants you a limited, non-exclusive, non-transferable license to use the App in accordance with these terms. It does not grant any ownership rights to the App, its source code, or intellectual property.
4.7. Refunds are handled exclusively by the app store the purchase was made from, under its policies.
4.8. Right of Withdrawal (EU/UK): you exercise any right of withdrawal for a purchase with the store you bought it from, under its terms and the applicable law. For digital content supplied immediately with your consent, the right of withdrawal may end once the supply has begun, as the law allows. This does not affect your statutory rights as a consumer.
4.9. Because no purchase stands behind the lifetime gift, Restore purchases cannot recover it. In particular:
— Reinstalling, or a new device: the lifetime gift is kept when the App is reinstalled and follows the same Apple ID or Google account to a new device, in each case where the device’s own backup or sync carries it over. In other cases, for example with a different Apple ID or Google account, after a move between iPhone and Android, or with the device’s own backup or sync turned off, it returns only by restoring your own BillPlex backup that contains it (see 4.4).
— A new installation: a new installation of the App does not receive the lifetime gift, even for someone who used the App before BillPlex Pro was introduced, unless the gift is carried over to it as described above or that person’s own BillPlex backup that contains it is restored.
— A lost device: if a device that holds the lifetime gift is lost and the gift has not been carried over to another device as described above, the lifetime gift ends with that device. If it was the household’s main device, the other devices that had BillPlex Pro through it return to the free version as described in 4.3, 30 days after their last sync with it.
4.10. If you hold the lifetime gift, you do not need to buy BillPlex Pro. If you buy a subscription anyway, for example on a device the lifetime gift has not reached yet, it is a separate purchase: the store bills and renews it until you cancel it, and while it runs the App shows that subscription instead of the gift. The lifetime gift is not lost and applies again once the subscription ends. A refund of such a purchase is decided by the store under 4.7.
4.11. Purchases, free trials, renewals, price changes, cancellations, refunds and payment problems are handled by Apple (App Store) or Google (Google Play) under their own terms, and belong to the store account the purchase was made with. The store decides whether you can get a free trial and how long it lasts, usually once per account. If a payment fails, the store decides whether, and for how long, BillPlex Pro stays available while it retries; payment details are updated with the store. We never receive your payment details and cannot charge, refund, cancel or change a store purchase on your behalf.
4.12. A purchase made on the App Store cannot be restored or used on Google Play, or the other way round, and cannot be moved to another Apple ID or Google account. To use it on a new device, sign in with the same store account and use Restore purchases. If the household’s main device moves between iPhone and Android, a subscription has to be cancelled in the old store and, if you wish, bought again in the new one; a one-time purchase stays in the store it was made in.
4.13. “Lifetime”, “one-time” and “without time limit”, for a one-time purchase and for the lifetime gift, mean for as long as we make the App and BillPlex Pro available, on the devices and operating system versions the App supports at the time.
Intellectual Property
5.1. The App, including its code, design, content, and functionality, is the intellectual property of Nexus Software Systems L.P. and is protected by applicable copyright and intellectual property laws.
5.2. You may not copy, modify, reverse-engineer, decompile, distribute, or create derivative works from the App without our prior written consent, except where such restrictions are prohibited by law.
Limitation of Liability
6.1. The App is provided on an “as is” and “as available” basis, without warranties of any kind, whether express or implied, including but not limited to fitness for a particular purpose, accuracy, availability, or reliability. This does not affect the rights you have by law as a consumer, including your rights if the App or BillPlex Pro does not work as described.
6.2. The App does not guarantee the accuracy, completeness, or reliability of any calculations, summaries, insights, or outputs generated based on user-entered data.
6.3. To the maximum extent permitted by law, we shall not be liable for:
— inaccuracies, errors, or omissions in user-entered data;
— any indirect, incidental, consequential, or special damages arising from the use or inability to use the App;
— data loss, corruption, or inconsistencies resulting from device issues, operating system updates, or user actions.
6.4. Our total liability under these terms shall not exceed the amount you paid for the App, including BillPlex Pro, in the 12 months before the claim arose.
6.5. Nothing in these terms excludes or limits our liability for intent or gross negligence, for injury to life, body or health, or any other liability that cannot be excluded or limited by law.
6.6. Subject to 6.1 and 6.5:
— BillPlex Pro not available on a device: we are not liable for BillPlex Pro being unavailable on a device because it did not sync with the main device, left or was removed from the household, did not receive or carry over the lifetime gift as described in 4.4 and 4.9, or belongs to a household of which it is not the main device as described in 4.3.
— Store decisions: we are not liable for decisions of Apple or Google about billing, trials, refunds or payment problems.
— Your own plan in another household: to the maximum extent permitted by law, we are not responsible for charges for your own plan while it is not used for the reason described in 4.3. We give no refund or credit for that period, and any refund is handled only by the store the plan was bought in, under its own policies (see 4.7).
External Factors and Third-Party Platforms
7.1. We are not responsible for service interruptions, data loss, or failures caused by factors beyond our reasonable control, including device malfunctions, operating system updates, third-party platform changes, or app store distribution issues.
7.2. We are not responsible for issues arising from the distribution of the App through third-party platforms, including the Apple App Store, Google Play Store, or operating systems on which the App runs.
7.3. The App learns the status of BillPlex Pro only from the store on each device and, for the other devices of a household, through sync. A free trial, renewal, cancellation, plan change or payment problem may therefore be shown late, or differently on different devices, until the store answers or the devices sync. The store’s records always prevail over what the App shows, and every charge is made only by the store.
7.4. We cannot see or manage devices outside a household’s sync, devices signed in to other store accounts, or purchases made in another household or the other store. If BillPlex Pro is bought more than once, for example on two devices, two store accounts or both stores, each purchase is separate and must be cancelled, and any refund requested, with the store it was made in.
Export, Backup, and Sync Responsibility
8.1. The App may provide optional features for exporting data, creating backups, or syncing data between devices.
8.2. You are solely responsible for securing any exported files, backup files, or data transferred between devices using these features.
8.3. We are not liable for unauthorized access, data loss, or misuse resulting from exported files or user-initiated data transfers.
Termination of Use
9.1. We may restrict or terminate access to the App if required by law or if continued use poses legal, security, or compliance risks.
9.2. You may stop using the App and delete it from your device at any time, which will terminate your use of the App.
Modifications and Governing Law
10.1. We reserve the right to modify these terms from time to time to reflect changes in the App, legal requirements, or business practices.
10.2. Updated terms will be made available within the App and on this page. If a change materially affects your rights or BillPlex Pro, we will tell you at least 30 days before it takes effect, for example in the App, and you can cancel your subscription before then if you do not agree. Other changes take effect when published. Continued use after a change takes effect constitutes acceptance.
10.3. These terms are governed by the laws of Greece. Any disputes shall be subject to the jurisdiction of the courts of Athens, Greece, without prejudice to mandatory consumer protection rights applicable in your country of residence.
10.4. Contact: For support or inquiries, contact us at contact@nexussoftdev.com.
10.5. If a court finds any provision of these terms invalid or unenforceable, the remaining provisions stay in effect.
Receipt Photos and On-Device OCR
11.1. Receipt photos you scan or import are stored only on this device, in the app’s private folder. They are never uploaded to our servers.
11.2. Text recognition (OCR) on receipts runs entirely on-device. On iOS we use Apple’s on-device Vision framework. On Android we use Google ML Kit’s on-device text recognition; ML Kit is a Google SDK and, although the receipt image itself does not leave the device, Google may collect anonymous usage and diagnostic data about ML Kit per Google’s ML Kit Terms.
11.3. Receipt photos are not shared with other household devices by default. You can opt in from Settings, and when you do, photos are sent only over the encrypted sync between your own devices on your local network, and only to devices you have paired.
11.4. You can remove any receipt photo at any time from the expense screen, and uninstalling the app removes every stored receipt photo from this device.
11.5. Receipt photos are included in the standard device backup (iCloud on iOS, Google Backup on Android) under the operating system’s own encryption.
